AI Email Personalization: A Practical Workflow

How to use verified context, AI drafting and human review to make outreach more relevant.

Personalization should explain why a message is relevant to the recipient. A first name is useful for addressing someone correctly, but it does not establish a reason to contact them.

AI can help turn researched context into a draft. It can also invent a detail, misread a company announcement or infer a problem that does not exist. A useful workflow makes those failure modes visible before anything is sent.

Start with a reason to contact the company

Define the audience and the problem the offer addresses. Then look for public business context that could make the offer relevant: a stated priority, a product launch, an open role or a documented workflow.

Record the source URL and when it was checked. Keep observations separate from hypotheses. An operations hire is an observable event; a claim that the company has an onboarding problem is an inference.

If the connection to your offer is weak, leave the prospect out. Generating a convincing sentence does not make the underlying targeting sound.

Give the draft a narrow job

Provide the model with approved facts, the offer and a short writing brief. Ask it to explain the connection in plain language. Tell it to leave uncertain information out rather than fill gaps.

For example, an illustrative brief might be: the company announced a new office; the offer helps route enquiries between locations. The draft can ask whether enquiry routing is relevant. It should not claim that leads are being lost unless the company has said so.

    Review before sending

Check the company name, role, source date and factual observation. Remove exaggerated familiarity and references to unrelated personal activity. Confirm that the message has a specific purpose, a proportionate ask and a clear way to opt out.

Keep enough provenance that a reviewer can trace the observation back to its source. For larger batches, sample across segments and pause the workflow when a recurring error appears.

    Measure relevance through conversations

Compare matched audience segments and change one material variable at a time. Track replies, positive replies, qualified conversations, bounces and opt-outs. Define the denominator and reporting window so comparisons remain meaningful.

Do not present an open-rate change as proof of commercial impact. Use downstream outcomes and the cost of producing and reviewing the messages to decide whether the workflow is worth maintaining.

Authentication and reputation still need attention. Follow the receiving provider's requirements; AI-written copy cannot guarantee inbox placement. See Google's email sender guidelines.
