    A Practical B2B Outreach Playbook

Build an outreach process around relevant targeting, sender readiness and useful reporting.

An outreach campaign is a connected process: audience selection, data checks, sender setup, writing, follow-up and reply handling. A problem in one stage can make the rest of the work difficult to evaluate.

Start with a small, clearly defined segment and a reason the offer should matter to that audience. Expand only when the process produces enough evidence to justify it.

Check the infrastructure and the data

Document who owns the sending domain and mailboxes. Check authentication, provider requirements and the way bounces, complaints and opt-outs are handled. Google's sender guidelines are a primary reference for mail sent to personal Gmail accounts; review the requirements of other receiving providers too.

There is no universal mailbox volume or warm-up period that guarantees delivery. Set a cautious sending plan suited to the account and adjust it using observed signals. Do not treat domains as disposable or replace them to get around complaints.

Validate company and contact fields before import. Deduplicate against existing records and suppression lists. Resolve uncertainty about audience eligibility or permitted outreach before launching a segment.

    Make the message specific

Use a verifiable observation only when it connects to the offer. Describe the problem you can help with without asserting that the recipient has it. Keep the ask easy to answer and avoid misleading subjects or a false impression of an existing relationship.

AI can assist with drafting, but a reviewer should check facts, relevance and tone. More variations are not automatically better than a small number of well-understood messages.

    Define follow-up and reply ownership

Decide in advance when to stop, who handles a reply and what qualifies as a useful conversation. A follow-up should add context or clarify the offer. Stop outreach when someone opts out, and make sure that suppression applies across campaigns.

Use another channel only when appropriate for the relationship and its rules. An unanswered email is not permission to repeatedly contact someone elsewhere.

    Measure the full process

Report sends, bounces, replies, positive replies, qualified conversations and meetings using clear definitions. Separate automated replies from human interest. Review the time spent researching, writing and handling responses alongside the outcomes.

Use those observations to decide whether the next change belongs in targeting, infrastructure, copy or the offer. Avoid declaring a campaign successful on opens alone or promising a reply-rate benchmark before the audience has been tested.
